The short answer

A useful company list includes identity, location, a relevant contact channel, the source and a clear next action. Review the records before exporting them to Excel or CSV.

1. Decide what the list is for

A call list needs phone details and follow-up notes; a territory review needs locations and company activities. Define the purpose before exporting everything. Smaller, relevant lists are easier to review and keep current.

2. Review company identity and duplicates

Compare the business name, website domain and address. Branches can share a name without being the same prospect. MapFirms supports importing Excel or CSV and merging duplicates; review the remaining records when multiple sources describe the same business.

3. Keep the evidence with your workflow

Check the source URL and collection date on contact records. A published address may change or belong to a shared inbox. Understand the data sources and inspect important contact details on the company's own website before using them.

4. Export, inspect and follow up

Use the program's Excel or CSV export, then open the file in the receiving application. Check accented names, international phone numbers and the first few rows. Keep one working copy and record contact outcomes in the CRM so a second list does not lead to duplicate outreach.

Before you move on

  • Only relevant records are included
  • Phone country codes and special characters survive export
  • Sources, notes and follow-up ownership remain available
